How do you keep your site organised? From dealing with any daily issues right through to hiring/firing staff, upgrades, additional ideas and keeping everything running smoothly?

Do you have staff meetings, to do lists, regular catch ups... how do you keep on top of things?

When it comes to site upgrades and stuff like that I usually like to have a road map planned out usually just for me so I can make sure I get stuff done when it needs to be done.

When it comes down to staff though I usually try and hold a staff meeting on skype or something similar and have regular topics in the staff forum asking how everything is going and what they, the staff, would like to be seen done to make their jobs easier on them.

I generally consult my admins about everything. I like to lay out a roadmap as to what needs to be done. I lay everything out and ask for opinions and we refine it until we feel its good to go.

    Staff promotions/demotions
Generally same as the above. We typically chat over AIM Blast groups and discuss everything. My admins can be a bit ADHD so I have to keep them in line when we are going over that stuff. So I try to hold a "strict" meeting and keep everyone in line and figure out what we need to do with staff.

    Ideas
Generally are posted in our Admin forums but sometimes will go in our "all staff" section to see what everyone thinks. Then from that, the admins will discuss what we think the final verdict should be (over Blast).

I like to talk to my admins at least a few times a week. Some of them I talk to every day, while others who are busy, I let them get on and do their thing and not bother them. But I do like to stay in close contact with all of them. My moderators are a different story. We have so many that it's hard to keep up with but we have a "all staff" AIM Blast group and I pop my head in there once in a while to talk with all that are online at that time.

And for members, I try to shoot "heys" or "thank yous" to those that help the site out with great content or discussions. I try to let them know that what they do is appreciated and that I have noticed them (which is a big deal to a lot of them because we have 400k+ users). So things like that keep members happy. I will sometimes give them free Premium memberships as a thank you. Depends on what they've done and how long they've been doing it.
